Privacy Policy
Effective Date: 1st January 2026
1. Introduction
Welcome to TRYDOKU ("we," "us," or "our"), available at trydoku.com. We respect your privacy and are committed to protecting the personal data you share with us.
This Privacy Policy explains how we collect, use, and safeguard your information when you use our document generation Software-as-a-Service (the "Service"). Trydoku is built with a privacy‑first architecture, designed to minimize data retention and support full GDPR compliance.
2. Information We Collect
We collect only the data necessary to provide and operate the Service effectively.
A. Account Information
When you create an account, we collect:
- Email address
- Name or business name
- Encrypted password credentials
- Billing information (processed securely by our payment provider; we do not store full credit card numbers)
B. Document Generation Data (Ephemeral)
To generate documents via our API or visual forms, you transmit data (payloads) to TRYDOKU. This data is used solely to generate the requested document and is not repurposed for any other use. Immediately after generation, the data is deleted from our systems and there's no backup stored anywhere.
C. User Content (Templates)
We store document templates (e.g., DOCX files) that you upload so you can reuse them for future document generation. The templates are stored in our systems and are not shared with any third parties. They are deleted after 30 days of inactivity.
D. Technical Logs
We maintain limited technical logs that may include:
- Request timestamps
- IP addresses
- Template identifiers
These logs are used strictly for security monitoring, debugging, rate limiting, and audit purposes. They are deleted after 30 days of inactivity.
3. How We Use Your Data
We use your data only for the following purposes:
- Service Delivery: To authenticate users and generate documents on request.
- Temporary Processing: Payload data sent via API or forms is processed immediately to produce your document. We do not use this data for analytics, advertising, or machine learning training.
- Communication: To send essential transactional emails (such as password resets, billing confirmations, or document delivery links).
- Security & Abuse Prevention: To protect the Service from unauthorized access, fraud, or misuse.
4. Data Retention
TRYDOKU follows a strict data minimization and retention policy:
- Input Data & Generated Documents: Stored only temporarily and automatically deleted within 24–72 hours after generation.
- Document Templates: Stored for 30 days. You may delete templates at any time, which permanently removes them from our systems.
- Account Data: Retained while your account is active. Upon account deletion, personal data is permanently removed unless legally required otherwise.
- System Logs: Retained for 30 days for security and operational auditing, then permanently deleted.
5. Data Security
We apply industry‑standard technical and organizational measures to protect your data:
- Encryption in Transit: All data is encrypted using TLS/SSL (HTTPS).
- Encryption at Rest: Stored templates and account data are encrypted in our databases.
- Access Control: Internal system access is strictly limited to authorized personnel and only for maintenance or security purposes.
6. Your Rights (GDPR & Global Privacy Standards)
We extend GDPR‑level protections to all users, regardless of location. Your rights include:
- Right to Access: Request a copy of the personal data we hold about you.
- Right to Rectification: Correct or update inaccurate information through your account settings.
- Right to Erasure ("Right to be Forgotten"): Request deletion of your account and associated data.
- Right to Data Portability: Request your template data in a structured, commonly used format.
To exercise these rights, contact us at gdpr@trydoku.com.
7. Subprocessors
We rely on trusted third‑party providers to operate TRYDOKU. All subprocessors are bound by Data Processing Agreements (DPAs).
| Service Provider | Purpose | Location |
|---|---|---|
| Cloud Infrastructure Provider | Hosting, databases, file storage | EU |
| Payment Provider | Billing & payments | Global |
| Email Provider | Transactional emails | Global |
8. Third‑Party Integrations
TRYDOKU may integrate with third‑party automation and AI platforms (such as Zapier, Make, or OpenAI).
If you enable these integrations:
- You authorize TRYDOKU to share the minimum required data to fulfill your request.
- Data processed by third parties is governed by their own privacy policies, not this one.
We recommend reviewing third‑party privacy policies before enabling integrations.
9. Changes to This Policy
We may update this Privacy Policy to reflect changes in legal requirements, infrastructure, or product functionality. Material changes will be communicated via email or through the TRYDOKU dashboard.
